AI agent workflow: Prepare Google Drive contracts for BoldSign dispatch

Prevent the wrong version, signer, or field placement from reaching the send step.

Workflow outcome

Turn approved source files into an approval-ready signature packet.

How an AI agent can turn approved source files into an approval-ready signature packet

This workflow gives an AI agent a defined job, a bounded set of records, and a result a person can review. The agent reads the relevant BoldSign context and matches it with Google Drive, applies the rules in the prompt, and keeps the source behind every recommendation. It returns a proposed handoff rather than taking consequential actions on its own.

Can an AI agent turn approved source files into an approval-ready signature packet?

Yes. Start with the scope, date range, decision rules, and fields that identify the right records. The agent can collect the evidence, compare states or sources, mark conflicts and missing data, and organize the result around the outcome above. A reviewer then checks the matches and judgment calls before approving messages, record updates, bookings, purchases, publishing, or other write actions. The guide below shows the records, boundaries, prompt, and handoff needed for this specific workflow.

Prove which document is approved

Google Drive supplies the contract source, version history, and review context. BoldSign supplies recipient roles, signature fields, delivery, and status. The agent should begin with a named Drive file and an explicit approval signal. A similarly named PDF in the same folder is not a safe substitute.

Ask it to compare the recipient sheet or request with the document’s party names and signature blocks. Mismatches go to legal or the deal owner; the agent should not repair names or emails silently.

Example starter prompt

Prepare a BoldSign dispatch checklist for Google Drive file [link and version]. The approval source is [comment, status, or approver]. Intended recipients are [list with roles and order].

Verify the file version, party names, recipient emails, signing order, signature and date fields, required attachments, reminder policy, and expiration. Cite the Drive source for every value. Return a packet preview and discrepancy list. Do not upload or send the document.

Check field placement against the final file

Page changes can invalidate an old field map. The agent should identify the final page and anchor for each signature, initial, date, and text field. If it cannot inspect placement reliably, it should require a visual review in BoldSign before send approval.

Questions this workflow answers

Are we about to send the right agreement to the right people with every signature field in the right place?

An agent can prepare a dispatch packet without taking the legal act of sending it. Start with one named Google Drive file and version, the approval signal your organization recognizes, the recipient list, signing order, and the requested delivery settings. The agent verifies that party names in the document match the request and that every recipient email and role came from an approved source.

Version control comes first. A PDF called final-v4 is not enough if the approved source is a different file or a later export changed pagination. The agent records the Drive URL, version or modification time, approving person or status, and checksum or other file identity when available. Conflicting party names, missing schedules, unresolved comments, or multiple approved-looking files stop the packet and go to legal or the deal owner.

Field placement must be checked against the final rendered document. For each signature, initial, date, and text input, the packet should name recipient role, page, nearby anchor text, required status, and any validation rule. If the agent cannot verify coordinates visually, it says so and requires the sender to inspect the BoldSign preview. An old template map should never be trusted after pages or clauses move.

The final handoff contains the source register, recipient table, signing order, field map, reminders, expiration, attachments, and discrepancy list. A reviewer can approve the document, recipients, and delivery settings independently. Only then does an authorized sender upload or dispatch through BoldSign. This keeps a wrong email, stale version, or shifted signature box from turning an efficient automation into an external contract error.

Expected handoff

Return the Drive file and version, approval evidence, recipient table, field map, delivery settings, discrepancies, and final send checklist. Keep the BoldSign send action separate and show exactly which reviewer must approve it.
