Make an intake base useful before it becomes a backlog
Airtable is a good source for agent work when the base already represents a business process: creative requests, partner applications, customer research, inventory exceptions, or launch tasks. The agent can inspect new records, apply the team’s routing rules, and prepare field updates for review.
The base schema matters more than a clever prompt. Name the intake view, required fields, valid statuses, priority rules, and owner mapping. The agent should leave uncertain records in an exception queue instead of guessing a department or urgency level.
An intake agent can also expose problems in the process itself. If half the records lack a launch date, the useful conclusion may be to change the form rather than chase every submitter. Ask the agent to separate record-level fixes from schema or workflow recommendations.
Pair Airtable with Gmail for requests that start in email
Gmail supplies the original request and subsequent clarification. Airtable supplies the structured record used to assign and track the work. A combined agent can match threads to records, identify requests that never reached the base, and draft missing details without treating every email as a new task.
Use a stable match such as request ID, sender plus subject, or a link included in the record. Keep record creation and updates behind approval until the matching rules have been tested on real threads.
